How to Never, EVER Lose Another Software Download!

If you are spending any amount of time at all online, chances are you download a fair amount of software, maybe just to try before you buy.  After awhile, it’s easy to forget where you put all those files (and their updates).  Well, no more because here’s the secret to never lose track of it again!

Getting Organized As Easy As 1-2-3…

The following strategy is one that has worked flawlessly for the last 15 years –and I download a lot of software!  Here are the simple steps to take:

  1. Create an installation files folder – at the top level of your hard drive create a folder called “Installation Files” (i.e. C:\Installation Files)
  2. Create a sub-folder for each different downloaded software – any time you download a new program create a sub-folder with the name of the software within Installation Files and then launch the installation of the software from that folder.
  3. Save all updates to any software in its respective folder – software is updated frequently so the best place to save those updates is in the very folder you created for the original installation!

How to Find Out If Anyone Else Is Using Your Images Online

Some of us spend a great deal of time (and money) creating the best and unique look for our Website and it content.  Needless to say it is just a bit annoying if others “borrow” your work to use as their own.  Well, here’s a very cool, quick and free way to find out if there is and who they are…

Big Eye In the Digital Sky

Tineye.com is an extremely powerful “reverse” image lookup search engine.  What this means is that if you provide Tineye.com with any image (whether uploaded from your computer or a link to it online) it will search for all likely instances of it.  The operative and most powerful word here is “likely”.  That’s because Tineye.com utilizes some very cool image AI (artificial intelligence) to find all images that even come close to the one you submitted.

The reason this capability is important is that someone who “borrows” your images will likely change them in some way.  With TinEye it doesn’t matter, it will most likely find them.  However, finding ne’er-do-wells is not the only way you will find TinEye’s unique capabilities useful, for example:

  • Helping to determine if an image you use for say a blog post may be owned by someone else, thus precluding your use without permission;
  • Finding similar images that may better represent the look or idea you are trying to capture.

TinEye is one of these simple, unique online tools that you may not use often, yet be glad you bookmarked it for when you do.

A Free Powerful Tool With A Funny Name…

How many times have you just wanted to show something to someone really quick without the hassle of saving it to your computer before hand? There are plenty of free screen shot utilities available, but none have the utility and ease of Jing (rhymes with “ca-ching”), here’s why…

Funny Name, Serious Results

Jing is a free screen shot / video recording utility from Techsmith (the same folks who created the gold standard of screen shot software, SnagIt).  What I love most about Jing is that you never have to save a screen shot or recorded video of your screen on your computer.  Once taken or recorded, it’s a snap to immediately upload the image or video to Techsmith’s ScreenCast.com media streaming service (which is also free to Jing users with up to 2gbs of storage –that’s a lot of images and short videos!).  What you end up with is a link of the image or video that you can send to anyone via email.

From the time you take a screen shot to the moment of sharing it can be done in seconds without having to store anything on your computer.  And the same with video recording of your screen as well.  Here are some of the ways you can use Jing in your daily business routine:

  • Send prospects images of properties and their features from anything that shows up on your screen (e.g. your online MLS system);
  • Create short video tutorials for prospects on how to use certain parts of your Website more effectively;
  • Create short training videos for staff which then become part of your operations manual;
  • Send screen shots to your Web designer annotated with changes you want done.

Extend Your Brand Using Just a Tiny Image For Free

You may not be consciously aware of it, but most of the time you go to a well-known Website the brand owner is doing something very subtle to boost the recognition of their brand in your mind.  This is some that very few real estate professionals take advantage of for their own sites, yet is free and easy to do.  Here’s what it it and how you implement it…

My Favorite Favicon

A favicon is a very special 16 x 16 pixel image that browsers use to display the site owners brand in the address bar and tab of the browser window that displays their site (see example below).

You can do this too and it starts with picking an image that when scaled to 16 x 16 pixels it is still recognizable.  With this in mind it is best to use something relatively simple and with just a few colors.  Avoid using photos as they will not scale well at all down to such a small size.  Also, make sure the image you do choose is square (i.e. has equal sides).

Then we used a very cool free online service called FavIcon from Pics that will convert any image into a favicon.  Like some free online tools, it has lots of features you will probably never need which only tends to confuse the casual user (i.e. someone who wants to create a favicon for their own Website).  So, I created a short video showing exactly what to do so that in less than 30 seconds you will have your Website’s favicon file ready to be installed on your site.

This may not seem like much yet it is just one more way you can extend your online brand and appear that much more professional and “established” than your less-wise competitors.

Up Your Google-Juice With PDFs

If you have links to PDFs on your site, chances are you are not taking full advantage of how they can improve your Google search ranking.  It’s very easy to turn this on, here’s how…

First of all the following process assumes that a) you have the rights to the PDFs on your site, and b) you have access to the full version of Acrobat (if not, find someone who does that can take a minute to do the changes for you).

  1. Open your PDF using the full version of Acrobat;
  2. Hit CTRL-D on your keyboard to open up this file’s Property dialog box;
  3. Enter the Title, Author, Subject (i.e. what the PDF is about) and appropriate keywords/phrases you want Google to pick up.
  4. Click the dialog box “OK” button and then save the changes to your computer.
  5. Upload the modified PDF file to the same server location as the earlier version.

Google will index all the non-image based (i.e. non-scanned) text in any PDFs linked to by your site.  However, it gives extra weight to your Website by having this “metadata” information (i.e. Title, Author, etc.) completed as well.  If the five steps above seem a bit intimidating, then have your VA or Webmaster handle it for you —it is definitely worth it!

Code to Your Online Success

In case you didn’t notice, there is a whole crop of young, willing and able real estate buyers that seem to have their head buried in their smartphones.  Gen-Y prefers texting over talking and their phone IS their world.  Here’s a way to get their attention and business —fast!

QR Codes to the Rescue

Think of QR (Quick Response) codes as a two dimensional bar code that can contain just about any kind of information and be read instantly from any number of free smartphone apps. The opportunities for real estate marketing are nearly endless since one of the main uses of QR codes is to embed URLS that when scanned will take the phone user to wherever the URL was pointing (i.e. your Website, listing detail information, etc.)  They effectively turn anything (including paper) they are printed on into an active and trackable hyperlink.

QR codes were invented in Japan by a subsidiary of the Toyota Motor Corporation to help identify car parts.  Once people recognized their flexibility of encoding links to the Web, they took off big time in Japan and other Asian countries.  In fact, you will find QR codes plastered on billboards, signs, storefronts and just about any place you look in all the major Japanese cities.

Here is where you can find free QR Code Reader apps for your smartphone (by smartphone type):

There really are only two issues to consider when incorporating QR codes into your marketing: a) how to create them, and b) where to place them for maximum exposure and impact.

Create QR Codes Instantly for Free

If you do a Google search on QR code generators you will find literally dozens of sites that will create them for you at no cost.  My favorite is a site called BeeTagg QR Generator which allows you to create any number of QR codes in different formats for free.  When you first land on this page you can enter the URL of the page you want your code to go to and choose the type of code it generates (make sure you have the QR Code selected and uncheck “Optimize size”).  Then just hit the “Go” button and you will instantly see your code with download options like this:

Now this next part is very important.  Of the six different download options shown, there are only two you will typically work with.  Gif if you plan on placing the code on a Webpage or email and Eps if you plan on using it in print.  Gif images are the smallest file sizes for this kind of image and are ideal for placement in Webpages.  However, they are not good for print or other media because they don’t scale well.  That is, they get blurry or pixelated if you try to blow them up beyond their original size and will become unreadable by the smartphone apps.

Eps file formats are ideal for print media because they can scale to any size (including 16 foot billboards) without any loss of fidelity.  The key here is to use the appropriate QR code image type for the right kind of application.

GEEK TIP: here’s a quick shortcut you can use to place a QR code on any page of your Website (with the code pointing to that page) just by including the following Javascript in your HTML code where you want the QR code to show up on the page:

The resulting QR code image will point to the page it is on.  Unless you are comfortable working with HTML code it is probably better to give this to your Web designer to implement.

Where to Use QR Codes For Maximum Impact

In addition to placing a page-specific QR code on every page of your Website there are many innovative ways you can incorporate them into your marketing.  Here are just some ideas that came out of a recent brainstorming exercise for QR code use:

  • Put them on your sign riders pointing to your Website with the details for that listing (NOTE: make sure the QR code on the sign rider is at least 10” x 10” so it can be scanned from the comfort of a prospect’s car)
  • Print ad with a QR pointing to a YouTube video of you walking thru your latest listing;
  • Put a QR code decal on your car that points to your Website, or better yet, an irresistible offer on your Website (again, make sure it is at least 10” x 10” so it can be scanned easily by other drivers.);
  • If it is winter, develop a QR code on the sign rider and link it to photos or a video of the house when the landscaping is in full bloom in spring;
  • Sponsor a local team and put the QR code pointing to your Website on their uniforms;
  • Give away t-shirts with QR code that points to your site;
  • If send out calendars each year, put a QR code pointing to your Website on every page;
  • QR code open house scavenger hunt. Put a QR code in ad or web ad of open house where the QR code on each house maps you to the next house. Have to read them all to get to the prize at the final house —great for brokers open tour;
  • Put a QR code pointing to your Website on the back of your business card.

QR Code Best Practices

Now before you go hog-wild with QR codes and start plastering them on every available surface (digital or otherwise), here are some best practices that will help you get the most out of these cute little smudges:

  • Tell them what it is – since QR codes are still very leading-edge in this country it is a good idea to provide additional info that explains to the less-techy consumers just what they are.  Here’s an example of what shows up on every page of my Websites that include QR codes:

Just click on the link in the image at left and see how it takes you to a page that fully explains what QR codes are and their benefits to the consumer.

  • Point to something worthwhile – make sure that whatever your QR code points to provides real value to the consumer.  Ideally, the landing page has a specific call to action and lead capture mechanism.
  • Make sure your QR codes are readable – make them big enough for the context they will be used.  This means about 175 pixels x 175 pixels for Web pages and email, 10” x 10” for outdoor use (sign riders and car decals) and huge for billboards.
  • Track your QR code traffic – you can easily track your Website traffic that is generated by people scanning QR codes.  If you are using a Web analytics program like Google Analytics it is easy to track QR code traffic by adding just a bit of text after the URL you are pointing to before generating the code.  For example:

http://www.myrealestatewebsite.com/?source=QR_printad

Where the highlighted part was added before generating the code.  Your analytics package will show any traffic specifically coming from people scanning the QR codes in your print ads.  There is nothing magic or special about the text that comes after “/?source=”, you can make it anything you want —just make sure there are no spaces and that it effectively describes where the code was embedded.

At this point you might be thinking: “Is this QR code thing really necessary for my business?” and the answer of course is no, it’s not.  However, if you want to be a leader in your marketplace and really catch the attention and business of the up and coming Gen-Y buyers, then yes it is.

Implementing QR codes is not about being a geek, it’s about staying up with your customers and serving them in the way they expect.  After all, that is what business is all about, isn’t it.

6 Proven Ways to Generate Business In Today’s Market

Drum Roll Please…

During our last Tuesday Live Group Coaching session we shared the top three winners, one runner-up and two “ringers” (agents who are direct coaching students of mine that I couldn’t let enter because it would be unfair to the others).  Here’s a breakdown of the ideas and strategies:

  • 1st Runner-Up – a very clever, simple and unique video from a Canadian agent that so engaged the viewers that it led to at least two closings.  WARNING: when you view it you may think “Why would anyone even like this?”, if so you are thinking like an agent rather than a prospect.

  • Ringer #1 – a Lawton, OK agent who found the secret to turning Craigslist ads into incredible new business.  In under three months she has 5 under contract or closed and another 10 about to go into contract.
  • Ringer #2 – a Miami agent whose site is generating 30 – 40 phone inquiries a day and the extraordinary way he handles that call volume to literally have prospects begging to work with him.

Your Free Digital Airbag

Let’s just assume for the moment that you back up your critical files every night in case your hard drive crashes.  Well don’t start feeling all warm an fuzzy just yet.  Just because you do regular back ups doesn’t mean you aren’t going to have one whopper of a headache if and when that crash happens.  Here’s a free way to avoid banging your head on the digital dashboard should your hard drive grind to a sickening and sudden halt…

What About Your Applications?

Most online backup systems will not back up your applications because a) it would take too long, and b) you would have to re-install them any way in the event of your system drive crash.  You would be in a world of hurt if you didn’t have an accurate inventory of which applications you had to begin with.  Belarc Advisor is free software you can download for your PC that will do that inventory for you and a whole lot more any time you want. When you run it it does the following, in just seconds:

  • Builds a detailed inventory of your installed software and hardware.  If there are any serial numbers associated with your software it will typically identify these as well (very useful for re-installation);
  • Identify which Microsoft Windows updates were installed and which are still missing.  This is important from a security standpoint given that most Windows updates are designed to patch security flaws;
  • Determine the status of your anti virus software and whether it is up to date or not.

It generates the final report in your Web browser.  When you run it for the first time you will be absolutely amazed at what it tells you about what you have and what’s going on inside your PC.  This report is one of the first things you want to give to your computer repair person during repair calls as well.

Best Practices

Belarc Advisor reports are useless if you don’t take measures to run them periodically and save them.  Here’s what I do to get the most out of this powerful, yet free service:

  1. I set up a recurring reminder in my Outlook calendar to run Belarc Advisor once a month.  If you happen to be a geek, you also can use Windows Task Scheduler to automatically have it run once a month as well.
  2. Save the report.  I save each report as a PDF and name it yymmdd_Belarc_Report.pdf.  This naming convention allows me to store a complete history of reports that will automatically sort by date run.  If you don’t have the ability to save these reports as a PDF then save them as an HTML file via your browser’s “Save As” function.  NOTE: it is critical that you save these reports in a folder that will be automatically backed up so you don’t lose them in the event of a crash.

Computers are truly miraculous tools that give us the power to do business in ways that couldn’t even been dreamed of just a few years ago.  However they are a royal pain sometimes, especially if you don’t respect the fact that it’s a matter of “when” not “if” your hard drive will crash.  Belarc Advisor is just one more (free) tool to help you survive intact…
